Plain English, because you should not need a lawyer to find out what happens to your phone number.
Sound Decisions Entertainment is a DJ and MC company based in Dayton, Ohio, serving the Miami Valley, Cincinnati, and Columbus. This policy covers this website, the planning portal we give our clients, and the song request pages we hand out at events.
Questions about anything here go to mike@sdohio.com or (937) 207-5224. A person reads that inbox.
The form asks for your name, your partner's name if there is one, your email, your phone number, your event date, the type of event, the venue, and anything you want to tell us. We use it to answer you and to hold your date. That is the entire reason it exists.
Once you are a client, your planning portal holds the details of your event: your timeline, your song choices and do-not-play list, your vendors, guest counts, and any notes you or we add while planning. We also keep a record of payments, which means the date, the amount, and the method you used, such as card or Venmo or check.
We never see or store a card number, security code, or bank account number. There is no field for one anywhere in our system. When you pay by card, that happens with your payment provider, not with us.
Guests sign in with Google before requesting, which means we receive the email address on that Google account. We do this so the couple and the DJ know a real person asked, and so nobody can flood the list. We use it for nothing else. We also keep the song and artist you asked for, which the couple can see.
Our staff and DJs sign in with their work Google accounts. We store the email address and the role that account has.
Our server briefly counts requests by IP address to stop a bot from flooding a form. Those counts live in the server's memory, expire within the hour, and are never written to a file or a database. We do not keep web logs tied to you, and we do not build a profile of your visit.
Our Facebook and Instagram links are ordinary links. Nothing is embedded from those sites, so they learn nothing about you unless you click through.
We use a small number of cookies, all of them ours, and all of them needed to make something work. None of them advertise to you or follow you to other websites, so there is nothing here to opt out of.
| Cookie | What it is for |
|---|---|
| ogmsess | Keeps you signed in to the portal or the admin area. |
| ogmportal, ogmid | Remembers which event portal you opened, so a link keeps working. |
| ogmguest | Remembers a guest between song requests at the same event. |
| ogmtok, ogmstaff, ogmdj | Staff and DJ access. Never set on a client or guest device. |
We keep this list short on purpose. Each of these sees only what it needs to do its job.
| Who | What they handle |
|---|---|
| Our email, calendar, and the Drive storage your event files live in. Also the sign-in button on the portal and the request page. | |
| Google Fonts | The two typefaces on this site. This is the only outside request a page here makes, and it means Google can see your IP address when a page loads. |
| Render | Hosts the website and the database behind it. |
| Apple | When you search for a song, we send the words you typed to Apple's music search to get back the title, artist, and cover art. We do not send your name with it. |
| Spotify | Staff only, for building playlists. No client or guest data reaches Spotify. |
| Calendly | Only if you book an intro call with us. |
If you give us your phone number and tick the consent box, we may text you about your inquiry or your event. Message and data rates may apply. Reply STOP to any message and we stop texting you, which does not affect email or phone. We do not send marketing texts, and we never share your number with anyone for their own marketing.
The email we send is about your event: answering your inquiry, your contract, your invoice, your planning. We do not run a marketing list. If we ever start one it will be something you opt into, with an unsubscribe link in every message.
We keep event records for as long as we are in business, because couples come back years later asking what we played at their wedding, and because we need them for taxes and for anything a contract might require. Inquiries that never become events get cleared out once they are clearly cold. Guest song requests are part of the event record.
If you would rather we did not keep yours, say so and we will delete it.
Wherever you live, and whether or not a law in your state requires it, you can ask us to:
Email mike@sdohio.com and we will take care of it, normally within a few days and always within 45 days. We will not charge you and we will not treat you differently for asking. If you are a client, some of it we may have to keep for tax or contract reasons, and we will tell you plainly which parts and why.
This website is meant for adults booking events, and we do not knowingly collect personal information from children under 13. We do play a lot of school dances. At those, the school or the parent group is our client, and we do not collect information about students. If a student requests a song, all we get is the email on the Google account they signed in with, plus the song. If you believe a child under 13 has given us something, email us and we will remove it.
Everything runs over an encrypted connection. Portal links are signed so they cannot be guessed, and access to the admin side is limited to our own staff accounts. No system is perfect, and anyone who tells you otherwise is selling something. If something ever did go wrong with your information, we would tell you.
If we change how any of this works, we will change this page and update the date at the top. We will not quietly start doing something this page says we do not do.
